Board 08 / Spares cabinet

The spare only counts if you have fitted one.

A spares cabinet gets judged one way. You open it in a hurry and either the part is there and fits, or it is not. Nine lines cover the machines and cloud accounts a firm runs on, and one exists purely to prove the parts still fit.

What actually gets copied

Working documents on a Windows box, whole workstations, physical servers, virtual guests, the Microsoft 365 tenant, Google Workspace, a QuickBooks Online ledger and the directory in Entra ID. Each is a separate line because each is a separate job against a separate unit, and bundling them would obscure what you are and are not holding.

The cloud lines are the ones people skip. A platform staying available is a different matter from a platform keeping your material, and thirty days of directory history has ended more than one bad week badly.

Proving it, ahead of time

Recovery rehearsal runs restores on a rota and writes down the outcome. It is the least glamorous line we publish, and the last one we would give up if somebody made us choose, because copies nobody has restored are a belief rather than a fact.

It also produces the document an auditor asks for, which saves a scramble at exactly the wrong moment.

Copies nobody has ever restored are a belief, not a fact.

Working File History

N-able Cove taking file and folder copies

Version history covering the documents somebody currently has open, on a Windows box. Office files, drawings, small databases and the rest get lifted twice daily, and anything saved inside the past 28 days returns in seconds without becoming a project.

  • Two lifts a day of the documents people have open right now.
  • Any of the past 28 days of versions brought back in seconds.
  • Run centrally, so retrieving a file never waits on whoever is carrying the laptop.
FitsOne Windows workstation.
Works onWindows workstations, and nothing else.
Stored for28 days of versions across the files in scope.
Issued byN-able Cove, configured by Fortify 24x7 engineers.

Workstation Image Backup

N-able Cove copying an entire machine, storage pooled

The entire box rather than the documents living on it. What gets taken and when is yours to shape, a local copy can sit alongside the cloud one, and a Windows workstation returns onto bare hardware instead of being rebuilt by hand across two days.

  • Whole system copies, with selection and timing under your control.
  • Cloud storage, and a local copy sitting beside it if you want one.
  • Bare metal return on Windows. AES 256 bit scrambling on the wire and at rest.
FitsOne workstation. Storage pools at 500GB for each workstation line.
Works onWorkstations on Linux, macOS or Windows. Bare metal return is Windows only.
Stored forDepth agreed with you, drawn against the pooled storage these lines carry.

Physical Server Backup

N-able Cove taking servers, databases included

Server grade copies of physical hardware, taking in the database, mail and collaboration workloads that turn a plain file copy into a useless one. Retrieve a single document, or set the whole machine back onto bare hardware.

  • Oracle, MySQL, SQL, SharePoint and Exchange workloads handled properly.
  • One document back, or the entire server returned onto bare hardware.
  • Cloud storage with an optional local copy. AES 256 bit on the wire and at rest.
FitsOne physical server. Storage pools at 2000GB for each server line.
Works onServers running Windows, and Linux ones as well.
Stored forDepth agreed with you, drawn against the pooled storage these lines carry.

Virtual Server Image Backup

N-able Cove taking virtual servers

The same server grade treatment pointed at virtual machines and counted per guest, so a host carrying four of them is four lines. Database and collaboration workloads get handled as what they are, not copied about as though they were ordinary files.

  • A whole image per guest, on the timing and selection you want.
  • Database and collaboration handling, plus single document retrieval when that suffices.
  • Cloud storage with an optional local copy. AES 256 bit on the wire and at rest.
FitsOne virtual server. Each virtual server line pools 2000GB of storage.
Works onGuests running Windows, and Linux ones as well.
Stored forDepth agreed with you, drawn against the pooled storage these lines carry.

Microsoft 365 Protection

N-able Cove holding a separate copy of Microsoft 365

Copies of the mail, files, sites and conversations inside Microsoft 365, held apart from the platform itself. Microsoft is extremely good at staying available. Staying available and being a backup are separate things, and the history on offer falls well short of what an audit or a rotten month will demand.

  • OneDrive, Teams, SharePoint and Exchange, all under a single line for each licensed person.
  • Seven years of Exchange history, one year for SharePoint, OneDrive and Teams.
  • No charge for shared mailboxes. Storage pools at 1TB for each person.
FitsOne licensed person. Shared mailboxes are not counted against you.
Works onMicrosoft 365, joined at the tenant.
Stored forExchange reaches back seven years; OneDrive, Teams and SharePoint reach back one.

Google Workspace Protection

Dropsuite holding a separate copy of Google Workspace

Drives, mail, tasks, calendars and contacts lifted out of Google Workspace on a rota, with retrieval fine grained enough to hand back one message instead of an entire mailbox nobody asked for.

  • Gmail, My Drive and Shared Drive, plus tasks, calendars and contacts, all in scope.
  • Mail lifted twelve times daily, drives three times, the rest once a day.
  • One item back, one account back, or everything. AES 256 bit on the wire and at rest.

QuickBooks Online Protection

Dropsuite copying QuickBooks Online continuously

Intuit gives no undertaking to hand your ledgers back. This line copies a QuickBooks Online company without pause and returns it when asked, which covers the mundane calamity of somebody deleting the wrong thing quite as well as the theatrical kind.

  • Copies taken continuously, priced against the company file rather than the staff list.
  • Download it, put it back or replicate it in one click, with no hardware of your own involved.
  • Storage without a ceiling. AES 256 bit scrambling on the wire and at rest.
FitsOne QuickBooks Online company file. Companies count, bookkeepers do not.

Entra ID Configuration Backup

Dropsuite holding the Entra ID configuration

The directory is what everything else puts its trust in, and Microsoft holds only a month of it. This line keeps the configuration as far back as you care to go, shows what moved and when it moved, and restores a value to the state it stood in without a support case and a wasted afternoon.

  • Configuration kept far past the thirty day window, with no ceiling stated.
  • Changes watched, with the last good value searchable by attribute.
  • An unwanted change rolled back rather than rebuilt from somebody's memory.
FitsOne Entra ID tenant.

Restore Verification

N-able Cove rehearsing recoveries, with proof

The line that opens the cabinet deliberately. Recoveries are rehearsed on a rota against protected systems and the outcome gets written down, so whether your copies actually work is settled long before the worst week of the year turns up.

  • Rehearsed recoveries on a weekly or a monthly rota.
  • Written proof of a rehearsal that worked, which is the artifact an auditor wants.
  • Applied per protected system, so you choose what gets proven.
FitsOne protected system on the recovery rota.
Works onSystems that a different line on this board already protects.
Stored forOutcomes and proof are kept while you hold the line.

Honest scope

What the cabinet does not hold

Backup is easy to sell and easy to get wrong. Below is what the nine lines above do and do not undertake.

  • Storage pools, and a pool has a bottom. Workstation lines pool 500GB apiece and server lines pool 2000GB apiece. Where your estate needs more than the pool carries, you hear about it before the card goes in rather than afterward.
  • Depth is a decision, never a default. The reach backward gets agreed with you and it costs storage. Assuming a longer reach than you paid for is the commonest route to disappointment we see.
  • Copies nobody has restored are a rumor. Which is exactly why recovery rehearsal is a line you can buy rather than a reassurance we hand out free of charge.
  • Bare metal return has edges. Whole machine return on workstations is Windows only, and putting a server back always depends on there being hardware or a host to put it back onto.
  • The opening run is heavy and there is no trick around it. A first pass reads everything in scope, one time through. Leave the hardware awake and connected until it settles, and everything afterward moves only what changed.
